VFVA-Personal Assistance to Ceo
Mission The Personal Assistant to the Chief Executive Officer will provide comprehensive administrative and organizational support to the Chief Executive Officer of a telecommunications company. This role will require a highly organized, proactive, and confidential individual with excellent communication and interpersonal skills. Key Responsibilities 1. Executive Support: Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to ensure efficient time management. 2. Strategic Advisory: Support the CEO in initiatives like proposals, bids, and presentations through research, consultation, and team management. 3. Information Management: Handle incoming and outgoing correspondence, including emails, letters, and documents. Draft and prepare correspondence on behalf of the CEO as needed. 4. Business & Industry Awareness: Keep the CEO and senior leadership updated on critical matters like economic trends, ICT developments, and regional issues. 5. Communication & Representation: Draft speeches, articles, briefings, and project proposals as required by the CEO. Respond to inquiries from board members and stakeholders in a timely and professional manner (written and oral). Professionally represent the organization at industry networking events. 6. Meeting Management: Prepare for meetings by gathering necessary materials, scheduling conference calls, and taking minutes. 7. Database & Records Management: Manage and update all relevant databases. Maintain the general complaints file and ensure timely responses. Continuously update Vodafone Vanuatu mailing lists. 8. Administrative Excellence: Coordinate travel arrangements for senior management and board members. Compile and distribute papers, minutes, and agendas for meetings. Be responsible for receiving general inquiries and providing referrals. Maintain a professional and approachable demeanor. 9. Teamwork & Collaboration: Collaborate effectively with colleagues and visitors. Proactively support both the team and project deliverables. Qualifications and Skills Bachelor's degree or equivalent experience in business administration, communications, or a related field (preferred). Minimum 3-5 years of experience as a Personal Assistant or Executive Assistant, with a strong understanding of the telecommunications industry being a significant advantage. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling software. Excellent organizational, time management, and communication skills. Ability to prioritize tasks, manage multiple deadlines, and work independently. Discreet, trustworthy, and professional demeanour. Attention to detail and accuracy. Ability to maintain composure and prioritize under pressure.
